Receptionist & File Clerk
<p>We are seeking a personable, dedicated and detail-oriented bilingual receptionist and file clerk to support our team. This role serves as a welcoming first point of contact for clients, visitors and other stakeholders while also providing critical administrative support to ensure the firm’s seamless daily operations. </p><p><br></p><p>The ideal candidate will have prior experience in an immigration law firm setting and be extremely detail-oriented and comfortable working with clients and colleagues in a highly regulated and time-sensitive area of law. Attention to detail throughout all duties of this role is necessary. </p><p><br></p><p>The functions of this role require communication with peers, supervisors and individual clients as well representatives from different organizations in an efficient and professional manner. Client understanding and satisfaction is a fixed priority, and this professional’s customer service must reflect the firm’s values and goals. </p><p><br></p><p><strong>Essential Duties</strong></p><ul><li>Answer, screen and direct phone calls to staff. Take messages and see inquiries through conclusion timely.</li><li>Manage firm calendars (e.g.: scheduling existing client appointments, confirming and changing appointments, screening first-time callers, scheduling consultations, coordinating access authorization for visitors, entering and managing database reminders for hearing and interview dates, fingerprinting and other deadlines).</li><li>Provide general support, assisting organize and maintain case files and client management systems.</li><li>Greet clients and visitors in a courteous and professional manner.</li><li>Process in-person and phone payments, as needed.</li><li>Sort incoming correspondence, scanning case receipts into client files, entering logs, reminders, case notes, notifications<span>,</span> and calendar events based on daily physical and electronic mail. </li><li>Handle and document all outgoing mail, including scanning and hole punching case filings, creating FedEx and USPS packages, logging and dropping mail off at the end of the day, as well as making hand deliveries, as needed, to local offices.</li><li>Retrieve court dispositions and other records, as needed.</li><li>Copy client personal and supporting documentation.</li><li>Close files for completed cases, properly storing related documentation and documenting procedures.</li><li>Provide Spanish/English interpretation and assist staff in communication with Spanish-speaking clients.</li><li>Ensure that office supplies are appropriately stocked.</li><li>Ensure the break room remains clean, orderly, and appropriately stocked.</li><li>Organize and assist in preparing materials for team meetings, and take minutes, when necessary.</li><li>Process in-person and phone payments, as needed. </li><li>Assist with projects as assigned by the legal team, which may include the preparation of basic legal documents and filings.</li></ul><p><br></p><p><strong>Minimum Qualifications:</strong> </p><ul><li>Friendly and professional demeanor, with demonstrated proficiency in customer service and/or sales and strong desire to learn </li><li>Excellent verbal and written communication skills </li><li>Excellent attention to detail; </li><li>Consistent timeliness and task execution </li><li>Experience in calendar management and handling large volumes of calls </li><li>Ability to work independently and within teams, manage time and workloads efficiently, and keep deadlines </li><li>Competency in Microsoft Office Suite </li><li>Fluency in English and Spanish (spoken and written) </li><li>Interest in technology applied to operational efficiency and the field of law </li><li>Motivated and self-driven</li></ul><p><br></p><p><strong>Preferred Qualifications:</strong> </p><ul><li>Associate or bachelor’s degree </li><li>Prior experience in a law firm setting, especially in an immigration law firm </li><li>Fluency in Russian (or other languages) a plus </li><li>Familiarity with case management databases (e.g., LawLogix), project management software (e.g., ClickUp), and/or e-signing platforms (e.g. PandaDoc)</li></ul><p><br></p><p><strong>Salary</strong></p><ul><li>$40,000 – $50,000 (depending on experience)</li></ul><p><br></p><p><strong>Benefits</strong></p><ul><li>Retirement savings with employer match</li><li>Medical insurance with company subsidized premiums, life insurance, and HSA</li><li>Paid time off (incremental with length of employment), paid sick leave (5 days), federal holidays, and annual end-of-year office closure</li><li>Costco membership</li><li>In-office coffee, tea, and snacks; catered birthday lunches</li></ul><p>(Benefits provided following a 90-day probationary period of employment).</p><p><br></p><p>While it supports hybrid operations, this is an in-person role.</p><p><br></p><p>Please <strong>apply online</strong> – no agencies or phone calls.</p><p><br></p><p>Davidson & Seseri is a Chicago-based boutique law firm specializing in immigration and nationality law.
