Position Summary

The Scheduler performs daily scheduling tasks, answers the primary scheduling phone line during work hours, manages call-offs, assigns caregivers, updates WellSky in real time, and documents all communication and changes. This role ensures smooth daily staffing operations and supports communication with caregivers and clients.

Core Responsibilities

· Answer the primary scheduling phone line during work hours.

· Perform daily scheduling tasks in WellSky.

· Handle caregiver call-offs and reassign shifts promptly.

· Maintain Quick View accuracy.

· Document all schedule changes and communication in real time.

· Update caregiver availability and client schedule patterns.

· Correct missed or inaccurate clock-in/out entries.

Collaboration & Team Support

· Collaborate with Lead Scheduler.

· Coordinate with Care Managers for caregiver-client matching needs.

· Support workflow and communication across the scheduling team.

On-Call Expectations

· Oncall 2 nights a week and every other weekend.

· Answer scheduling calls and messages.

· Resolve issues within 30 minutes when possible.

· Log all actual work time during on-call periods.

· Maintain access to phone, internet, and WellSky during on-call hours.

Qualifications

· 1–2 years scheduling or administrative experience preferred.

· Strong communication and customer service skills.

· Ability to manage call volume and multitask effectively.

· Ability to learn office systems including Wellsky Personal Care, Microsoft 365 Etc.

· High attention to detail and documentation accuracy.
